This policy explains what information Atlas Sloan Holdings, d/b/a EQUITAX ("EQUITAX", "we") collects through equitaxusa.com and the EQUITAX client portal, how we use it, who we share it with, and the choices you have. EQUITAX is a Georgia property tax advisory firm at 4720 Peachtree Industrial Blvd, Suite 106, Berkeley Lake, GA 30071. Questions go to support@equitaxusa.com or 404-351-5354.
1. What we collect
When you use the savings estimate or contact us. The estimate asks for the property address, the type of property and the value on your notice. The address and type are kept in your browser for a day so the sign-up form can be filled in for you; the value is not kept. On the contact form, your name, email and message. Using the estimate does not create an engagement.
When you create an account. Your email address and a password (we never store your password; our sign-in provider holds it in hashed form), your name, phone number and how you prefer to be contacted.
When you sign a Letter of Authorization. The property owner's name, the property address, county and tax year, the fee plan you choose, your typed name and, if you draw one, an image of your signature, your agreement to the terms and whether you want text messages. We also record the date, time and internet (IP) address at which you signed, so that the signed authorization can be shown to be yours.
About your property. Details you give us about ownership, value and condition, and the documents you upload — assessment notices, purchase records, photographs and similar files. Uploads are stored privately and are never public. If paper letters should go somewhere other than the property, our staff record that mailing address on your file, from what you tell us or from our earlier records.
Billing. Card and bank details are entered directly with Stripe, our payment processor; we do not receive or store card numbers. When you pay by card on our site, Stripe tells us whether the card is a credit or debit card so the right fee is charged; we do not keep that. We keep a record of each invoice, its amount, its status and Stripe's reference numbers, and the receipt Stripe issues.
Communications. Copies of the letters, emails and text messages we send you, whether they were delivered, and letters we receive about your case, including post that arrives at our office and is scanned into your file.
Case records. Notes, dates, hearing details, county offers and outcomes recorded by EQUITAX staff as your appeal proceeds. We also hold an archive of appeal records from earlier tax years that were kept in our previous system.
Technical information. Standard server logs; counters used to limit abuse, keyed by account, email address or IP address; and a log of actions staff take in the system.
2. Cookies and similar
The site uses cookies that are needed for it to work: a sign-in session cookie once you log in, and a short-lived cookie (eq_address, 24 hours) that remembers the address and property type from a savings estimate so the sign-up form is filled in for you. There are no advertising cookies.
3. How we use information
• To review your assessment, prepare, file and argue your appeal, and attend hearings on your behalf.
• To send you the letters, emails and (if you asked for them) text messages about your case, and to invoice you and take payment.
• To answer enquiries and keep a record of what was agreed.
• To keep the service secure, prevent misuse and meet record-keeping obligations.
We do not use your information for advertising and we do not sell it.
4. Who we share it with
County and state taxing authorities. Filing an appeal means giving the county your name, property details, the signed authorization and the evidence that supports your case. That is what you authorize us to do when you sign the Letter of Authorization.
Service providers who operate the site for us. Each receives only what its job needs:
• Supabase: Database, sign-in and private file storage in the United States
• Vercel: Hosts the website and portal
• Stripe: Payments; holds your card or bank details, not us
• Resend (via Amazon Web Services): Sends our emails and tells us whether they were delivered
• Twilio: Sends text messages you have opted into
• Google: Suggests matching addresses when you type one (the address text only, never your email or password)
When the law requires it, for example a subpoena, or to protect our rights or someone's safety.
We do not share your information with anyone for their own marketing.
5. Text messages
If you tick the text-message box when you sign, we send a short confirmation, a text when your appeal moves to a new stage, and one text if the email address on your file stops working, so you can update it — usually a handful of messages per tax year. Message and data rates may apply. Reply STOP to stop, HELP for help. Email and portal updates continue. The texts go to the phone number on your account, which is also the number our staff use if you have asked to be contacted by phone.
6. Staff access
Only EQUITAX staff can see client records. Changes staff make to cases, agreements, invoices, payments, county pages, site text and client details are logged. When a staff member leaves, their sign-in ends the same day.
7. How long we keep it
Engagement agreements, invoices and payment records are kept for at least seven years after the engagement ends. Appeal files are kept while you remain a client and for as long as they may be needed for a later year's appeal. Enquiries that do not become an engagement are kept for one year. Server logs are kept by our hosting provider for its standard period. Abuse-prevention counters and the staff activity log are kept as part of our records.
8. Your choices
• See and correct your details in the portal at any time.
• Ask us to correct or delete information by emailing support@equitaxusa.com. We will do so unless we are required to keep it — signed agreements, invoices and filed appeals are records we must retain.
• Stop text messages by replying STOP. Emails about an active appeal or an unpaid invoice are part of the service and continue while you are a client.
9. Security
Data travels over encrypted connections. Records are protected by per-user access rules in the database, files are stored in private storage, and staff sign in with their own accounts. No system is perfectly secure; if we learn of a breach affecting your information we will tell you as the law requires.
10. Children
The service is for property owners and is not directed to anyone under 18.
11. Changes
We will post any change here with a new effective date.

Address suggestions
When you type a property address, the text is sent to Google Maps to suggest matching US addresses. Selecting a suggestion retrieves its address details. You can edit the address or enter it manually. EQUITAX saves the address you submit with your property request. Your email and password are not sent to this address service.
Address suggestions use Google Maps services under the Google Maps Terms of Service and Google Privacy Policy.
